Lead Autopilot for n8n: setup guide

Every lead from your website form gets a score, a row in your Google Sheet, a fast reply if it is hot, and follow-ups that stop when the person replies. Built for small service businesses and agencies that run n8n.

What you need

  • n8n: Cloud, or self-hosted (free). Tested on n8n 2.44.6.
  • An AI key from any OpenAI-compatible provider, or Ollama on your own computer for free.
  • A Google account (for the Sheet) and an email account that can send by SMTP.
  • Optional: a Slack webhook, and IMAP access to your inbox (for reply detection).

5-minute setup

This gets workflow 01 working. The full pack (all 7 workflows) takes about 15 minutes. QUICK-START.md has the full checklist.

  1. Upload Leads-sheet-template.xlsx to Google Drive and open it with Google Sheets. Copy the Sheet ID from the web address.
  2. In n8n, import all 7 files from the workflows folder.
  3. Open workflow 01. Fill in the Config box: your Sheet ID, business name, services and booking link.
  4. Click each node with a warning sign and pick or create the login it asks for: AI key, Google Sheets, email.
  5. Click Publish (n8n 2.x) or switch Active on (n8n 1.x).
  6. Open workflow 07, paste workflow 01's Production URL into its Config, and click Execute workflow. You should see 4 test rows in your sheet.

AI disclosure and limits

  • This pack was built and tested by Oarsman AI's AI agents, then checked by the automated QA gate (see QA-REPORT.json).
  • The AI score is a guess. It can be wrong, so check the reasoning column before you act on it. If the AI is down, simple rules score the lead instead (scored_by = rules).
  • The automatic reply is a fixed template. The only AI words in it are a service name, and only if that name is on your own services list in Config.
  • Not tested: your real Google, email, IMAP, Slack and AI accounts, and scoring quality with your chosen model. Run workflow 07 after setup to check your accounts.
  • A Slack alert can be posted twice if Slack times out and the retry succeeds.
  • Only email people who contacted you, and follow the anti-spam and privacy laws that apply to you.
